Bring the photograph somebody hesitated over

There is no form on this site, no trial to start and nothing to buy. What there is, is a conversation, and the most useful thing you can bring is the image your office wanted to use and did not, or used and then thought about afterwards.

Bring one of these

The appeal image you hesitated over. Somebody in your office asked whether you could use it and the answer took three people and an afternoon. That conversation tells us more about your actual situation than any requirements document.

The alumnus who asked you to stop. If it has happened, how did you handle it, and could you do it again reliably? If it has not happened yet, it is worth deciding what you would do before it does.

Your oldest material that is actually in use. Not the oldest you hold — the oldest you still reproduce. That is where the gap between what you have and what you can establish is widest.

The reunion cycle. Walking through one class-year programme end to end is the fastest way for both of us to see whether this fits your office at all.

Three things we will say before you ask

One. We do not digitise your archive. If the boxes are the problem, an archivist is worth more to you than we are.

Two. A large part of a long archive will stay unpublished because nobody can establish an agreement for it, and we are not going to add a review queue that quietly clears it.

Three. No money moves through this. Live payment is not turned on, nothing is processed here, and the platform is free to the institution — so there is no procurement conversation to prepare for.

Any of the three is a legitimate reason to stop, and it is far better reached in the first meeting.

What we would need, if it goes further

What you currently record about permission, and where. Frequently it is a spreadsheet, a field in an advancement system, and an institutional memory held by one person who has been there nineteen years. Establishing that honestly is the first real piece of work.

How your class-year data is organised. Retrieval by cohort is the operation this office does and nothing else does, and it is the thing most likely to be awkward.

Who signs off on a use. In most institutions the answer is genuinely unclear until somebody objects, and finding that out in advance is worth doing regardless of whether you ever talk to us again.

About the conversation itself

Is there a trial?

Not a self-serve one. Setting this up against real holdings is work rather than a signup, and a demonstration against invented material would tell you nothing about the only thing that matters here, which is how it behaves on material where nobody recorded anything.

Should our counsel be involved?

Eventually, and we will not pretend otherwise. We describe what the system refuses and when; whether that meets your institution's obligations is a conclusion only your counsel can draw. What we can usefully do first is give them something precise to react to rather than a brochure.

Do you replace our advancement system?

No. Gifts, pledges, receipts and donor records stay exactly where they are; no money moves through this at all. What this holds is imagery and the decisions attached to it, which is a gap most advancement stacks have rather than a duplication of something they already do.

Do we have to decide anything at the end?

Only whether there is a second conversation. There is no purchase at the end of this and no procurement step to prepare for.

What follows is a conversation rather than a sequence, and there is nothing to buy at the end of it. That is the actual state of the product, not a soft close.
